These Terms and Conditions constitute a legally binding agreement between you and Nepal Adventure Trail for all travel-related services. By booking a trip with us, you confirm that you have read, understood, and agreed to these Terms and Conditions. These terms take effect from the date you make a booking with us.
For trips to Nepal, Bhutan, Tibet, and India, the following are required at the time of booking:
A clear copy of your passport
A 20% deposit of the total trip cost
The 20% deposit is non-refundable once paid and will be treated as a cancellation fee in case of cancellation.
The remaining balance can be paid after arrival in Kathmandu.
Important Note:
For Bhutan, Tibet, and India tours, the full trip cost must be paid at least 30 days prior to departure.
Nepal trips:
Last-minute bookings are accepted up to 10 days before departure, subject to availability. Full payment is required at the time of booking.

Last-minute bookings are accepted up to 30 days before departure, and full payment is required.
Nepal Adventure Trail accepts the following payment options:
Online booking system
Credit card payment
We accept Visa, MasterCard, and American Express.
A 3.5% card processing fee will be added to the total amount.
Nepal Adventure Trail is not responsible for any bank or card transaction fees charged by the payment provider, which are not included in the total trip cost.
Cancellations must be submitted in writing via email at least 20 days prior to the departure date.
A cancellation is valid only after receiving written approval from Nepal Adventure Trail.
10% of the total trip cost will be deducted from the amount paid.
The remaining balance will be refunded.
Cancellations made less than 20 days before departure:
No refund will be provided.
If you submit a claim to your travel insurance company, we will assist by providing supporting documents such as payment receipts upon request.
Requests to reschedule or postpone a trip must be made at least 20 days before the scheduled departure date.
If postponing to a new date, notice must be given at least 30 days prior to the new departure date.
A USD 100 per person fee applies for:
Preponing
Postponing
Transferring the trip to another person
All changes must be made no less than 30 days before departure.
The client is responsible for finding a replacement participant.
No refunds will be issued for unused services (including meals, accommodation, transportation, or activities) if a trip is not completed for personal reasons.
If a client commits any unlawful act and is required to leave Nepal or the trip prematurely, no refund will be provided.
Passports must be valid for at least 6 months beyond the return date.
A Nepal tourist visa can be obtained from:
A Nepalese embassy or consulate, or
On arrival at Tribhuvan International Airport, Kathmandu
All visa fees are the client’s responsibility.
Comprehensive travel insurance is mandatory for all clients.
Your insurance must cover:
Trip cancellation and interruption
Medical treatment and personal injury
Emergency helicopter rescue and evacuation
Air ambulance services
Weather-related delays
Natural disasters
Loss or theft of personal belongings and equipment
Nepal Adventure Trail operates tours in accordance with the regulations of the respective tourism authorities.
We are not responsible for changes or delays caused by circumstances beyond our control, including:
Government regulations or political situations
Natural disasters
Illness, injury, or death
Weather conditions
Flight delays or cancellations
Any additional expenses resulting from such events will be borne by the client. We strongly recommend adequate travel insurance.
Due to unpredictable mountain weather, flight delays and cancellations may occur.
Nepal Adventure Trail is not responsible for additional costs or inconveniences caused by such delays.
We recommend allowing extra buffer days, especially during peak trekking seasons.
Helicopter transfers can be arranged upon request at an additional cost, subject to availability.
Clients should carry sufficient funds for unforeseen circumstances.
Clients must be in good physical and mental condition.
You should be capable of walking 3–4 hours per day before joining a trekking or adventure trip.
Any medical conditions, allergies, or disabilities must be disclosed at the time of booking.
Children under 16 years of age must be accompanied by a parent or legal guardian.
Nepal Adventure Trail respects your privacy.
All personal information provided during booking will be kept confidential and used solely for trip arrangements and operational purposes.
Nepal Adventure Trail may use photographs or videos taken during the trip only with the client’s prior consent.
Your satisfaction is important to us.
If you have any concerns or complaints during the trip, please inform our staff immediately so that issues can be addressed promptly.
These Terms and Conditions apply only to bookings made directly with Nepal Adventure Trail.
If you book through a third-party agent or platform, their respective terms and conditions will apply.
These Terms and Conditions are governed by the laws of Nepal.
Any dispute arising from or related to these Terms and Conditions shall be resolved exclusively in the courts of Nepal. The parties agree that Nepali courts shall have sole jurisdiction.
